How the savings are estimated

  • Unused seats: annual cost × (seats − active users) ÷ seats, when use is below your threshold. Many vendors only let you cut seats at renewal, so act before the renewal date.
  • Overlapping apps: two or more apps in the same category. The saving shown is the cost of every app except the most-used one, as a ceiling; consolidating takes planning.
  • No owner: nobody is accountable for the spend or the renewal, which is where auto-renewals slip through.

A 30-day SaaS clean-up

  1. List every subscription (finance, cards, SSO).
  2. Give each one an owner.
  3. Cut unused seats at the next renewal.
  4. Pick one tool per category.
  5. Put every renewal date in a calendar with 60 days' notice.

Questions

How do I find unused SaaS licenses?

Compare seats paid for with active users over the last 30–90 days, from each app's admin console or your single sign-on reports.

What is a good SaaS utilization rate?

Aim for most seats to be used; below about 80% is worth a look at renewal, and seats unused for 90 days are usually safe to remove.
